Wedding and event packagingWhich packaging formats do event teams order?

|---|---|---|---|
| Branded event bags | Registration, tote and paper carrier bags that hold the kit. | One per attendee: a few thousand, up to tens of thousands at large shows. | Tote bagsPaper bags |
| Attendee kit boxes | Welcome kits, VIP gifts and press kits, with inserts to hold each item. | A few hundred for VIPs; one per attendee for full welcome kits. | Mailer boxesGift boxesInserts |

How far ahead should you order for an event date?
Work back from the event day. Production is fixed at 7 to 12 business days after proof approval; delivery depends on the option you choose on the quote.
| Working back from the event | What happens | Time to allow |
|---|---|---|
| Event day | Goods checked, packed into kits and ready at the venue. | Your fixed date |
| Your buffer | Receive and count the goods, pack kits and move them to the venue. Venues often set receiving windows. | Your choice; more if kits are packed after delivery |
| Delivery | Delivered duty paid (DDP) to your door, by the normal or fast option chosen on the quote. | Add the delivery time shown on your quote |
| Production | Made to the approved proof. | 7 to 12 business days |
| Proof approval | Nothing is printed until you approve the proof. | Allow for brand, sponsor or legal review |
| Quote | Your quantity plus up to three larger runs, each with Normal, Express and Priority delivery. | As soon as the date and attendee estimate are known |
To find the latest day to approve your proof, start at the event date. Subtract your buffer, then the delivery time on your quote, then 12 business days for production. Count business days, not calendar days, and skip public holidays.
Example: with a buffer of five business days, approve the proof at least 17 business days before the event, plus the delivery time on your quote. That is five days of buffer and 12 days of production, the slow end of the range.
If that day has passed, approve the proof as soon as you can and compare Express and Priority delivery on your quote. Production still takes 7 to 12 business days after approval.
How does an event order run from quote to delivery?
- 1
Request a quote
Send the formats, attendee numbers, event date and delivery address through the quote panel. One rep picks it up and handles the account from here, including every reorder.
- 2
Agree the specification
Size, material, print and finish are confirmed in writing for each format. If a detail is still open, describe what goes inside and the rep proposes a specification.
- 3
Priced at your quantity plus up to three larger runs
The quote prices your quantity and up to three larger runs, so you can see what spares or a bigger guest list add. Each run lists Normal, Express and Priority delivery with its turnaround.
- 4
Approve the proof
A proof of every design is sent, including sponsor and session versions. Nothing is printed until you approve it, so build sponsor and legal review into your plan.
- 5
Production: 7 to 12 business days
Production takes 7 to 12 business days after you approve the proof. Count business days, not calendar days.
- 6
Delivered duty paid to your door
Goods ship delivered duty paid (DDP) by the normal or fast option you chose on the quote. If kits need packing, kitting is arranged through partners.
What should you send for an event packaging quote?
A rough answer is fine where the attendee count or design is not final.
- Formats: event bags, kit boxes, sachets, giveaway boxes, badge inserts or labels
- Attendee numbers, with separate counts for speaker, VIP or sponsor kits
- Your quantity for each format, plus up to three larger runs to price on the same quote
- What goes inside each item, with sizes or fill weights
- The event date and the date you need the goods in hand
- The delivery address for the goods
- The number of designs, including sponsor or session versions
- Sponsor logos, artwork or a brief, and who signs off the proof
- Whether it is a one-time event or a yearly one you expect to reorder for
- Whether kits need packing; kitting is arranged through partners
Not sure of the specification? Describe what goes inside, and the rep proposes one.

How many bags or kits should I order for a conference?
Start from registered attendees, add spares for walk-ins and damage, and count VIP kits separately. The quote prices your quantity plus up to three larger runs, so you can see what extra units add.
Can I see the design before it is printed?
Yes. A proof of every design is sent, and nothing is printed until you approve it. Allow time for sponsor review, because production starts only after approval.

Kitting, co-packing and fulfillment are arranged through partners, not done in-house. Tell your rep what goes in each kit, how many kits you need and where they go.
Will I pay duties or fees when the goods arrive?
No. Orders ship delivered duty paid (DDP) to your door, so there are no duties or fees to settle on arrival. You choose normal or fast delivery on the quote.
What if my event date is close?
